Tenant Coordinator

The Tenant Coordinator is responsible for the coordination of tenants, general contractors, and sub-contractors after the completion of the shell of the mall has been built. Responsible for the complete and timely opening of the new mall.

 

Responsibilities

  • Tenant
    • Set up tenant files.
    • Prepare all tenant manuals.
    • Have all tenant work letters on file and review.
    • Track Tenant building permits. When applied for and approved.
    • Make sure all change orders are completed for tenant spaces and track (binder).
    • Check in tenants as they arrive. Give tenant manual, review Landlord approved drawings and tenants a set. There should be a list. Including insurance cert, deposit, construction schedule, rules and regulations, space acceptance form, etc.
    • Walk space with tenant and have them sign acceptance form. Give keys. Any shell GC punch list items go to them.
    • Meet with all tenants GC’s every day. Track schedule and make sure they follow safety rules and general rules.
    • Have super meetings when enough are on site or management wants them to start.
    • Require and coordinate Tenant building material delivery’s, then fixtures, then stock.
    • Make sure and track tenant signage. When submitted, landlord approved, city approved, permits and install. Make sure install equipment (lifts) don’t damage Mall.
    • Coordinate GC’s. When and where. Dumpsters, porta johns and etc.
    • Track all tenant final inspections and items needed to open.
    • Complete tenant punch lists.
    • Sign off Tenant punch lists.
    • Gather all tenant closeout items and return deposits.
    • Coordinate Grand Opening with Tenants.
  • Owner
    • Have all Taubman spreadsheet templates prepared and approved with Taubman.
    • Receive Landlord approved drawings from Taubman and file in blue print files.
    • Complete tenant construction completion spread sheet and send to Taubman every day or when required.
  • Shell GC
    • Determine what meetings we need to attend to with Shell building GC.
    • Start filling out Shell GC space completion spread sheets.
    • Walk spaces with Shell GC, punch out and turn over. There will be a form.
    • Coordinate with shell GC when sidewalks, curbs, paving, crane lifts, heavy work is going to be completed and how to make work with tenant GC’s. No tenant GC’s should be cut off or not have access to their site.
    • Met with shell contractor and go over protection for Mall finishes that Tenant GC’s will have to protect. Figure a plan for this.
  • Mall
    • Set up and start relationship with Building Dept and Fire Dept. Relay Building permit apps and when to apply to tenants. Figure out all inspections and C of O. Put in tenant manual. Fee’s and any required local Business licenses. Track all on spread sheet.
    • Have unit pricing if possible for all mall required contractors.
    • Coordinate material containers? Storage area?
    • Figure out and develop truck plan for site. For all of above.
    • Coordinate security throughout project.
    • Make sure install equipment (lifts) don’t damage Mall. Access?
    • Make sure pumps are ready it will be hurricane season. Plan? Evacuation plan?
    • Make sure safety vehicles always have access for emergency. Security. Have emergency plan for accidents and/ or a Fire.

Qualifications

  • 10+ years’ experience in construction or architecture/engineering industry
  • 5-10 years’ experience as a tenant coordinator
  • Bachelor’s degree or equivalent experience
  • Dynamic, high energy, take charge leader who is action oriented
  • A very quick study who works well in high pressure situations.
  • Dedicated individual with ironclad integrity.
  • Demonstrated success in leading and managing a management team including owners, tenants, contractors and sub- contractors.
  • Highly developed interpersonal skills for dealing with sensitive or controversial situations.
  • Able to face situations that are unstructured and require an original approach.
  • Experience with Microsoft Office software, including Word, Excel, Outlook, PowerPoint, and Internet Explorer.
  • Expertise with document control and cost management and tracking.
  • Knowledge of corporate and OSHA safety policies and emergency procedures.
  • Excellent oral and written communication skills.
  • Excellent organizational skills.
  • Ability to handle small group presentations/meetings.
  • Demonstrated problem solving skills.
